Preventative Maintenance Coordinator

Job Description

Ultimate Staffing is seeking a Preventative Maintenance Coordinator who will play a critical role in ensuring timely, accurate, and high-quality PM inspection and testing services across multiple accounts.

Schedule: Monday- Friday 8am- 5pm, onsite in Irvine, Ca

Pay: $22- $24/ hour ( Depending on experience)

What You'll Do:

  • Build and maintain positive, professional relationships with affiliate subcontractors
  • Clearly communicate scope of work for each service
  • Communicate with customers and affiliates via phone and email
  • Schedule and coordinate preventative maintenance (PM) services efficiently
  • Serve as the primary point of contact for customers regarding PM inspections and testing
  • Work with vendors to coordinate services and negotiate PM terms and costs
  • Maintain accurate PM schedules, site details, and compliance records in internal and customer systems
  • Track all open and closed work orders in the Great Plains system
  • Update work order status notes, schedule dates, estimated completion dates, and close dates
  • Provide regular status updates to customers and affiliates
  • Follow up daily to ensure timely and accurate completion of work orders
  • Obtain inspection purchase orders from customers
  • Dispatch inspection work orders to affiliates promptly
  • Follow up weekly on inspection completion status
  • Proactively identify issues and provide solutions to prevent service disruptions

What Success Looks Like:

  • PM services are completed on time
  • Customers and affiliates are well-informed
  • Documentation is accurate and up to date
  • Issues are resolved quickly with minimal impact
